Minutes of a Meeting of Holme Lacy Parish Council Playing Field Committee Held at 7.45 pm, 4th March 2015, in The Village Hall

PF1/15. APOLOGIES: Mr Davies

PF2/15. MINUTES OF THE LAST MEETING

The minutes of the meeting of 19 August were agreed as a correct record and signed by the Chairman.

PF3/15. GROUND MAINTENANCE

(1) Fences in good order, except some tidying up required on field fence.
(2) Play equipment – in good order.
(3) New pedestrian (kissing) gates had been installed and were very good. Mrs Harris had received a complaint that the Parish Council had closed a right of way but she had pointed out that this was incorrect. Access was still there through the new gates.
(4) Club hut – Football Club expected to hear the result of their application for a grant towards new changing rooms in April.

PF4/15. GRASS CUTTING

4 Seasons had ceased trading. The Clerk had approached two companies for quotes.

The Clerk had asked Came & Company for advice on Mr Hince cutting the football pitch.

PF5/15. WEEKLY INSPECTIONS

The Clerk emphasised again the importance of having evidence that these inspections had been done. It was important that the Clerk was sent the inspection sheets. These had to be kept for at least 21 years because of the time period in which claims for children could be made. The weekly inspections were a visual inspection. They could be held less frequently in the winter when there was less use of the equipment. Clerk to supply more sheets to the Councillors. If any equipment was found to be defective it must be taken out of commission immediately and the Clerk informed.

John Hicks & Associates would be carrying out the annual inspection this month.

PF6/15. RISK ASSESSMENTS

PF7/15. FINANCE

(a) Accounts for payment: already paid and approved by Parish Council
£661.86 – 4Seasons Ground Care Ltd – grass cutting 2014
£50.76 – John Hicks & Associates – 2014 play equipment inspection
£860 – Paul Wright – installation of pedestrian gates
£549.60 – Centrewire – pedestrian gates (replacement cheque – first cheque missing in post)

(b) Receipts:
£1000 – Holme Lacy Parish Council – grant for 2014/15
£200 – Holme Lacy Football Club – 1st instalment of fees for 2014/15

(c) Bank reconciliation for quarter ended 31.12.2014 circulated with agenda.
